THE QUICK ANSWER
What to settle first.
Create a movement log rather than trying to recreate certainty. For each important item or group, record the original room if known, who moved it, approximate time, current location, visible condition, available photographs and whether the original area was assessed before or after movement. Do not assign damage cause, value or coverage in the log.
AT A GLANCE
Three points to clarify.
Original location
Room and position if known. Resolve: Was the area documented before movement?
Movement event
Person, time, reason and handling method. Resolve: Who authorized the move?
Current location
Holding area, label and access condition. Resolve: Who controls storage or return?
01 / PLAN THE CONVERSATION
Label known facts and missing facts separately
Begin with the original room and current holding area. If the exact original location is uncertain, write “room known; position unknown” instead of choosing a likely spot. Note who moved the items and whether movement occurred before photographs or provider assessment.
The insurance documentation guide can help organize records, but it does not determine cause, value or coverage. Keep the movement log factual and preserve original photos or messages as separate evidence.
02 / PLAN THE CONVERSATION
Connect moved contents to room access
Ask which wall, floor or cabinet areas became accessible after contents moved and which remained obstructed. Record whether the provider returned to assess the newly accessible area and whether that visit is included or separately charged.
The loss-notes tool can help keep dates, contacts and unanswered questions together. Use it to record the handoff, not to invent details that were not observed.

Preserve photographs and handling responsibility
For fragile, contaminated, heavy or valuable items, identify who is authorized to handle, pack, clean, store or dispose of them. Do not move an unsafe item just to improve documentation.
Compare the log with any contents line in the estimate. Ask how packing materials, labor, storage, return placement or specialist handling are described and which items remain excluded.
04 / PLAN THE CONVERSATION
Use the log for the next assessment conversation
Use the site call option to describe the moved contents and newly accessible areas. Ask the responding provider to confirm assessment arrangements, contents responsibilities, charges and written scope. This worksheet is not a valuation or claim decision.
FEMA documentation guidance supports taking photographs and keeping records after damage. Actual handling, safety, valuation and insurance decisions require the relevant professionals.

YOUR DISCUSSION CHECKLIST
Turn the conversation into clear answers.
Check an item once you have a recorded answer. These checks organize the conversation; they do not certify the design or work.
CALL-PREPARATION TOOL
Know what to say when you call.
Build a short outline from what you know. This does not submit a request or book service.
Your call notes
Questions to ask: Known and unknown original locations are distinguished. The mover, time and current location are recorded. Original photographs are preserved without replacement. Please confirm whether you handle the cleanup and drying needs I describe and serve my address, plus any assessment fees and exclusions.
Common questions
What if I do not remember the exact original position?
Record the room or grouping you do know and mark the position unknown. Do not create a more precise history than the evidence supports.
Does the movement log prove an item was damaged by the event?
No. It documents location and handling; cause, condition, value and coverage require separate evaluation.
Should I move remaining items before the provider arrives?
Ask about safety, handling and access first. Do not move heavy, contaminated or risky items solely for documentation.
