Build one row for every planned visit
Start with the date, arrival window, expected task and provider contact. Add the person who can meet the crew, a backup contact and any building or parking instruction that is safe to share. Do not assume the previous day’s arrangement remains valid.

Record the actual outcome and any gap
After the visit window, append actual arrival, completion, cancellation or failed-access status. Record the time and source of any explanation. Do not backdate a confirmation or delete a missed entry.
For the next day, identify unresolved access, monitoring or pickup tasks and obtain a fresh confirmation. If the visit is chargeable, link it to the relevant written scope or change authorization.
